To Filter Email Based On Specific Words or Phrases

1) Open Microsoft Outlook or Outlook Express by clicking on the appropriate icon on your screen.

2) At the top of the Outlook screen, click on "Tools". This will reveal a dropdown menu.

3) On the dropdown menu, click on "Message Rules" and then "Mail". This will launch the New Mail Rule configuration box. From this box, we can configure a wide variety of email filters. 

4) In the Rule Configuration Box you will see four options. Begin by putting a check mark in the boxes labeled "When The Subject Line Contains Specific Words" and the box labeled "When The Message Body Contains Specific Words".

5) In the next box, labeled "Select The Actions For Your Rule" select "Delete It From Server".

6) In the third box labeled, "Rule Description ( click on an underlined value to edit it)" click on the blue hyperlink labeled "contains specific words". This will launch a popup box labeled  "Where The Subject Line Contains Specific Words".

7) Enter a list of words or phrases to be filtered (one at a time) and click add after each word or phrase. Any email that you receive that contains any of these words or phrases will automatically deleted before it ever reaches your mailbox.

The following is a partial list of words that are commonly used in junk mail. This is by no means a complete list, but is a good place to begin. As time goes on you will want to add to this list on your own.

Common Words And Phrases You May Want Put In Your Filter List:

free, you have won, you are a winner, winning confirmation, mortgage, refinance, winner, debt, make money, credit, finance, loan, loans, adv, confirmation, consolidate, bills, viagra   

Unfortunately, The list goes on and on. After you have entered all the words that you want to filter at this time, click "OK"

8) Next In the same box labeled, "Rule Description ( click on an underlined value to edit it)" click on the blue hyperlink labeled "and" and switch it to the value labeled "Messages matching any one of the criteria" and click "OK"

9) Again, In the same box labeled, "Rule Description ( click on an underlined value to edit it)" click on the blue hyperlink labeled "Where the message Body Contains Specific Words".  Just as in the subject line, enter a list of words for which all matching emails will be deleted. More than likely you will want to use the same list of words that you previously used, but you may change filter words as you like. 

10) Lastly, in the last option on the page "4) Name of the Rule". Label this rule "Junk Mail Filter" and click on "OK" 

Any email that is sent to you which contains any of the words which you specified above will automatically be deleted.

** These are simply the basic options for filtering email. You may choose to filter email in greater detail by selecting more options in the "Mail Rules" list.

Filtering Email from a Specific User

1) Open Microsoft Outlook or Outlook Express by clicking on the appropriate icon on your screen.

2) At the top of the Outlook screen, click on "Tools". This will reveal a dropdown menu.

3) On the dropdown menu, click on "Message Rules" and then "Blocked Sender's List". This will launch the New Mail Rule configuration box.

4) From within this box, you may enter a list of email addresses (one at a time). You must choose if you would like to filter this user from sending mail, news messages or both. Select the option labeled "News and mail Messages" and click "Add". You may enter as many email addresses in to this filter as you desire. Any address on this list will be prevented from sending email or news messages to you.

5) Click "OK" at the bottom of the box labeled "Message Rules". You are now finished. No one one your blocked sender's list will be allowed to send email or news messages to you.
